Selecting Software

What to look for, what to ask every vendor, and the red flags to walk away from.

Choosing software you'll live with for years

The software you choose runs your scheduling, your billing, your technicians' day and every customer record you have. Switching later means converting your data and retraining everyone, so it pays to choose carefully the first time.

This is the checklist we'd hand a friend: start with your own business, insist on a few must-haves, ask every vendor the same questions, and watch for the red flags.

Start with your business

Before you sit through a single demo, write down what you need.

Your size

How many technicians, office staff and branches do you have today? Pricing, setup and the tools you need all change with headcount.

How you operate

Residential, commercial or both? Recurring routes, one-time jobs, termite work, multi-unit sites? The more varied your work, the more your software has to handle.

Where you're going

Plan for the company you want to be in a few years: new branches, new service lines, more technicians. Software that fits today but not tomorrow means switching twice.

The must-haves

Every pest control company needs these, whatever its size.

A mobile app that works offline

Technicians work in basements, crawl spaces and rural routes. The app has to keep working without a signal and sync the moment it's back.

Scheduling and route optimization

Drag-and-drop scheduling is the minimum. Tools that build efficient routes around technicians' hours, start points and appointment windows save hours every week.

Billing and payments built in

Invoices, statements, autopay and payments collected in the field, in the same system as the service, so nothing is entered twice.

Customer communication

Texts and emails, "on my way" notices, and a customer portal where customers can see their service history and pay online.

Questions to ask every vendor

Ask each one the same questions, and compare the answers side by side.

  • How long have you served pest control companies? Software built for every trade rarely fits pest control's recurring routes, materials records and inspection points.
  • Who handles the data conversion, and when? Ask what comes across from your current system, who checks it, and how long it takes.
  • If we leave, how do we get our data out? Your customer records are yours. Make sure you can take them with you.
  • What does support include, and what costs extra? Ask about phone support, training, custom reports and feature requests.
  • Can we talk to customers our size? References from companies like yours tell you more than any demo.

Red flags

Any one of these is worth a hard second look.

Long lock-in contracts

Agreements of two or three years keep you paying for software that isn't working for you.

Fees for the basics

Charges per report, per feature or per support call add up fast, and they're rarely in the first quote.

No way to export your data

If a vendor can't tell you how you'd leave, you may not be able to.

Built for another trade

HVAC or plumbing software bent to fit pest control misses the details that matter: materials, conditions, devices and inspection points.

Support by ticket only

When something stops your day, you need a person who knows your account, not a queue.

Making the decision

  1. Narrow the field to two or three finalists that cover your must-haves.
  2. Bring your office staff and a couple of technicians to the demos. They use it every day, and they'll spot what a sales demo skips.
  3. Check references from companies your size, and ask what onboarding was really like.
  4. Get the onboarding plan in writing: what converts, when your team trains, and when you go live.
  5. Read the agreement: how long it runs, what's included, and what happens if you leave.

How Blu Star measures up

Blu Star was built by the people who run Adam's Pest Control, #54 on the 2025 PCT Top 100, after 13 years on someone else's software. It's made for pest control and nothing else.

We convert your data from PestPac, ServSuite, FieldRoutes or Service Autopilot as part of onboarding. Our agreement runs for one year, then month to month. Support comes with your subscription, and our developers and support staff are all based in the U.S.

And as your Tru Partner™, we're in it with you long after go-live.
